Setting Up an Affordable Office for Your Small Business in Nairobi
Starting a small business in Nairobi? Here is exactly what hardware you need — and what you can skip — to set up a productive, affordable office.

Starting a small business in Nairobi is exciting, but kitting out an office can quickly burn through your starting capital if you are not careful. The good news is that with the right shopping list, you can equip a fully functional 2-to-5-person office for well under KSh 250,000. Here is the practical checklist we share with every entrepreneur who walks into Fahavi Computers.
1. Laptops, not desktops
Unless you specifically need a workstation for design or accounting software, go with laptops. They are portable, save on power (important during outages), and let your team work from a co-working space, a client meeting or home. A reliable mid-range business laptop such as an HP ProBook or Lenovo ThinkPad i5/8GB/256GB SSD costs around KSh 55,000 — 70,000 and will last 4-5 years.
2. One good multifunction printer
Skip the cheap inkjets that cost more in cartridges than the printer itself. Invest in a single ink-tank multifunction printer like the Epson EcoTank L3250 or HP Smart Tank. Yes, the upfront cost is higher (~KSh 35,000), but ink lasts thousands of pages and total cost per page drops to almost nothing. Place it in a central spot and connect it to Wi-Fi so everyone can print from their laptop or phone.
3. Reliable internet + a backup
Get a fibre line from Safaricom Home Fibre, Faiba or Zuku as your primary connection. Then add a 4G/5G MiFi as a backup — internet downtime can cost you a full day of revenue. Budget about KSh 4,000 — 6,000 per month for a small office.
4. Power backup
Power outages are still a fact of life in Nairobi. A small UPS for the printer/router (KSh 8,000) and a 1500VA UPS or inverter for shared equipment (KSh 18,000) will save you data losses and hardware damage. If you are in an area with frequent blackouts, consider a small solar + lithium backup system.
5. Accessories that pay for themselves
- External monitors — a second screen boosts productivity by up to 30%.
- Wireless mice and keyboards — far better for posture than laptop trackpads.
- Headsets with mic — essential for client calls and Zoom meetings.
- Cable trays and surge protectors — small but they keep the office tidy and safe.
6. Cloud, not cabinets
Use Google Workspace or Microsoft 365 for email, documents and storage instead of buying a server. It costs about KSh 800 per user per month and gives you proper backups, shared drives and professional email.
